Our Company
City Counselling and Psychotherapy Ltd TA City Therapy (“we” “us” “the company” “City Therapy”) offers Psychotherapeutic and Psychological services to our clients. The clinicians work to the standards of the body they have a membership with, including IACP, IAHIP, BABCP, PSI (this list is not exhaustive) and are bound by their code of ethics. All of the Psychotherapists/Psychoanalysts/Psychologists hold their own professional indemnity insurance and work as a separate entity to City Counselling and Psychotherapy TA City Therapy.
The Psychotherapists/Psychoanalysts/Psychologists (“clinicians” “therapists”) who work under the banner of City Therapy will have received a copy of the code of conduct set out by the company.
For the purpose of this document service users may also be called “clients” “inquirers” “you”
The therapists are made up of Qualified/pre-accredited Psychotherapists/Psychoanalysts, Accredited Psychotherapists/Psychoanalysts/Psychologists, Trainee Psychotherapists on Placement (not qualified)
All clinicians have Medical Malpractice/Professional Indemnity and/or Public Liability

Our Remuneration
Counseling and Psychotherapy
Our normal remuneration is in the form of clients paying the fee set by each Psychotherapist, Psychoanalyst, or Psychologist.
As the fees are set by individual practitioners the fees will vary. Below is a Scale of fee ranges.
In some instances, therapists may reduce their fees at the request of the client or a fee reduction for session bundles. Gift of Therapy Tokens can also be purchased and these can be used to pay for sessions
The fees will be outlined as part of the working contract between the client and the Psychotherapist/Psychoanalyst/Psychologist.

Handling of Money
The handling of money when working with one of the Psychotherapist/Psychoanalyst/Psychologists will be managed by that Psychotherapist/Psychoanalyst/Psychologist. Money is normally paid in Cash or Electronic Funds Transfer. Some of the clinicians also offer other forms of payment ie Sum Up, Revolut
If receipts are required, please ask your clinician.
Money paid as part of the Senior Trainee Program can be paid by Electronic Fund Transfer or cash. If receipts are required, please ask the Senior Trainee and they will be supplied by City Therapy
Refunds
Refunds are not given by City Therapy as the therapists working from City Therapy work in a sole trader capacity.

Conflict of Interest
It is the clinician’s policy to avoid any conflict of interest when providing services to their clients. If you have not been advised of a conflict of interest, you are entitled to assume that none exists.
Failure to Pay/Cancelation Policy
Missed payments for sessions will be taken up with the client by their clinician, City Therapy does not hold any responsibility for monies moving between a clinician and their client.
A working contract at the beginning of the Therapy Sessions will outline cancelation policy, the cancelation policy can range from 24-72 hours
Cancellation
The client can cancel work with their clinician at any point.
Complaint Handling Arrangements
Complaints
If you are unhappy with the service given by a clinician then the following steps can be taken
• To complain directly to the clinician you are working with. Every practitioner has their own Medical Malpractice/Public Liability and Professional Indemnity Insurance
• You can lodge a complaint directly with City Therapy, where your complaint will be taken up by City Therapy Directors. Any complaints should be addressed to City Therapy Directors, City Therapy 18 Dame Street, Dublin 2, D02XF59; email info@citytherapy.ie or phone 01 9065778/0863788002
Your complaint will be acknowledged, in writing/email, within 5 (five) business days of the complaint being made. You will also be informed of the name of one or more individuals that will be your point of contact regarding your complaint until the complaint is resolved or cannot be progressed any further. You will be provided with an update on the progress of the investigation of your complaint, in writing, within twenty-one business days of the complaint being made.
A decision on your complaint will be provided to you, in writing, within 40 (forty) business days of the complaint being made.
Should you remain dissatisfied with the final response or if you have not received a final response within 40 (forty) business days of the complaint being made, you may be eligible to refer your complaint to the

Conditions of Business
Every qualified therapist that works from City Therapy is an independent contractor. All independent contractors have their own professional indemnity that covers them in the case of issues arising from their work.
Liability
The service user acknowledges and agrees that City Therapy cannot and shall not assume responsibility for or control over the Clinicians Services, which shall at all times remain the responsibility of the clinician. We shall not be responsible for any activity involving the provision by the clinician for the clinician’s services.
Nothing in these terms excludes or limits our liability for death or personal injury arising from our negligence, or fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited by Irish law.
The client acknowledges and agrees that we are not responsible for
• the accuracy, reliability, timeliness, or completeness of the profile information of any Therapist, any personal data provided by you to a Therapist or any other data or information provided or received by you through the work with your therapist;
• the results that may be obtained from the use of the clinician’s services; or
• the canceling or rescheduling of any appointment for the Therapist Services with a Therapist.
Information Processing/Data Protection
City Therapy recognizes that protecting personal information including sensitive personal information is very important and we recognize that you have an interest in how we collect, use and share such information. Our Data Protection Policy is in line with the requirements under the General Data Protection Regulations (GDPR) which are effective from 25 May 2018.
Identifying/Personal information will be gathered when a client (the inquirer) makes contact with City Therapy. The purpose of this information is to help with the ‘Best Fit’ process (with an aim to find the best match for the client amongst the team). All information supplied by you will be treated in confidence by City Therapy. The inquirer’s information will be taken from the email they send through or over the phone. The inquirer information will be placed in a password-protected document and saved on a City Therapy computer. The information gathered will also be sent to a clinician, whereby that clinician will contact the inquirer. The inquirer’s information will be kept on file in case there is a change of mind. The inquirer’s details may be used for broader marketing or to offer the inquirer supplemental material that they can opt into if they wish. There are no client notes kept on a hard copy file. Details of the purchaser of Gift of Therapy Tokens will be kept for 18 months, in exceptional circumstances where a recipient of a Gift of Therapy Token is unsatisfied after the first session.
Information gathered by City Therapy will only be disclosed to other parties in the following instances (a) to clinicians aligned to City Therapy b) to refer to clinicians in other Psychotherapy centers (with consent) (c) where your consent has been received or (d) to meet our legal or regulatory obligations e) to an external reviews company to ask you to review your experience with City Therapy f) where harm to individual challenges the limitations to confidentiality.
We will hold data collected from you for the duration of our business relationship with you and for six years after that.
Notes and personal information gathered by the clinician on the inquirer/client will be kept securely by the clinician you are working with.
In an effort to improve our services you will be asked to review your experience, to do so you will opt-in to have your email sent to a third party so that you can submit your review. If a threat to life is highlighted in a review, we will activate the limitations of confidentiality (as set down by the accrediting bodies’ Code of Ethics) and inquire to how this this was handled by the therapist. In In an effort to support your mental health with supplemental material City Therapy will mail you to offer you the option of signing up for free information, with no obligation
Your Rights under our Data Protection Policy
You have the right to :
• Access the data we hold about you
• Have the data we hold about you transferred to another person or organization
• Have inaccurate data about you corrected
• Have information about you erased (this could affect our ability to process your inquiry)
• Object to direct marketing from us
• Restrict the processing of your data (this could affect our ability to process your inquiry)
• Make a complaint to us about the implementation of our data protection policy and procedures.
To access the data we hold about you, you will need to complete and submit a Data Access Request Form, available on request or via our website.
Data Breaches
In the event of a data breach that results in your personal data being compromised, we will advise the Data Protection Commissioner within 72 hours at most, unless the data was encrypted or anonymized. Where there is a high risk to your rights, as set out in the GDPR, we will also advise you of the details of the breach and the steps we have taken to rectify it and prevent its recurrence.
